As an Entrepreneur Success Coach, the complaint I hear most often from clients is that they frequently feel like they’re “winging it”, and while they have lots of pieces of the puzzle, they’re not sure how to put them all together.

Here are examples of the before and after of three business systems and processes I improved:

1) The Process: Client Intake

The struggle before: One of my private consulting clients was buried under a pile of voice messages from prospective clients. Instead of being able to stick to a healthy and productive schedule that left room for time with her family, she spent much of the day winging it as long reply calls and phone tag took over her day.

The solution: I suggested adding pricing to her intake process to create a boundary and filter out non-ideal clients and setting up an online appointment tool for streamlined call scheduling.

The ease after: Adding pricing automatically reduced call volume as prospects who were unwilling to make the investment no longer completed the intake process. Her new appointment tool created a workable schedule for calls—and set up clear boundaries for call duration times.

 

2) The Process: Client Payment

The struggle before: The same client had a system in place where she asked for payment by check at the end of her initial in-person meeting with clients—a practice that caused her a lot of anxiety and discomfort.

The solution: I guided her to connect her business bank account to an online accounting software and start requesting a deposit upfront. 

The ease after: Once I helped her automate her payment process, my client was able to eliminate the stress and effort she’d been struggling with. Now she invoices her clients via email and receives online prepayments with the push of a button.

 

3) The Process: Client Access

The struggle before: This client’s point of access was her cell phone number. She invited clients, and even prospects, to text her at all hours of the day—and they did.

The solution: I suggested reserving cell access to her VIP clients, and creating healthy barriers between her and her other clients and prospects through time-saving delegation and automation.

The ease after: No longer pulled in a million directions at once, my client is now able to look forward to some time on the golf course instead of being tied to her business into the wee hours of the night.
